SUMMARY

Provides administrative and technical support to the divisions within the Police Department. This position may oversee work-study, intern or volunteer workers.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following; other duties may be assigned:

1. Prepares, transcribes, assembles, distributes and maintains correspondence, case files and records relative to the assigned Division.

2. Enters, registers and maintains various Division specific data and personal information into specialized computerized files for distribution and utilization by requesting parties.

3. Responds to inquiries and other requests regarding the operation of the Department and/or work division.

4. Prepares, maintains and reviews various logs, financial and statistical reports and related Division correspondence for use within the Department.

5. Performs basic records checks by entering and retrieving data from computer.

6. Responsible for the accurate submission of data to federal agencies; meeting federal standards and guidelines.

MINIMUM QUALIFICATIONS

Education and/or Experience: High school diploma or general education degree (GED) and four years experience in the clerical field.

Communication Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer and Administrative Skills: To perform this job successfully, an individual should have knowledge of Microsoft Office© products. Demonstrated knowledge of office equipment and ability to perform various administrative tasks including: typing at 50 wpm net of error; alpha numeric data entry at 134 kpm net of error; and transcription at 95% accuracy.

Certificates, Licenses, Registrations: Must possess a valid South Dakota driver’s license or ability to obtain within 30 days from date of hire. Ability to obtain National Crime Information Center (NCIC) certification within 6 months from date of hire.
